8 Dubsado Micro Features You Need to Know About (Part 2) graphic

There are a few great all-in-one CRM softwares for small business owners and solopreneurs out there. So what differentiates one from the other? In this video, I'm going to share a few of my favorite micro features in Dubsado.*

Welcome back to the Productive Co. YouTube channel. My name is Rae, and this is the place for all things Dubsado CRM.*

There are a few other all-in-one client management systems out there, and they all have something unique to offer. Several of these apps have many of the same core features. So how do you know which software is best for you? Well, I think it comes down to what I like to call micro features. Those little features that make your experience as a user, just extra special and easier. So today I'm going to share eight Dubsado micro features that you need to know about.

1. Payment Reminders

The first micro feature I wanted to cover is payment reminders on an invoice. You can put due dates for a payment schedule and in order to make sure that your clients make those payments on time, you can have payment reminders set up on those payments schedules.

So you can see here that for this payment, a reminder will go out half a day before the payment is due. And then for this payment, seven days, three days, and one day before the payment is due, this is a great way to keep your clients on schedule. And the best part about it is that it can be automated.

2. Form Expiration Dates

The second micro feature is form expiration dates. You can go to the settings tab and you can put expiration dates on your forms. So whether you want no expiration, you want a fixed calendar date, or if you want to make that relative to one, it's added to a project or when the project starts. And so on.

Once a form expires the client, won't be able to make edits to it so that will help encourage them to stay on time. It will also prevent them from accepting a proposal after that proposal is no longer valid.

3. Download Everything as a PDF

I also really love that Dubsado* allows you to download a PDF of every document you send to the client. And this means that the client can download the documents as well. So after they pay an invoice, if they want to keep a copy for their records, all they have to do is hit download PDF in the upper right corner. Once again, they can do this with any document you send to them.

4. White Labeling

The next micro feature is white labeling. This feature allows you to make your documents branded to your business. You can see up here that this tab has my sub icon, as the favicon, rather than the Dubsado icon.

5. Control Team Members’ Level of Access

You can add multiple team members to your Dubsado* account, and you can give them different levels of access. If you go into the settings tab, that's the cog wheel icon in the upper right.

And then under multi users, you can invite new team members and you can see here that you can control what is visible to them. And then if you hover over each of these options, basic, accountant, and admin, you can choose which level of access you want to give them.

For example, the accountant only has access to the brand's bookkeeping info. They won't be able to see any of your forms or projects that you're working on. So you can control the level of acces you give your team members.

6. Dashboard Notifications

Now on to dashboard notifications in the dashboard tab. That's by default, the first page you're going to see when you log into Dubsado* on the upper right corner, you can see notifications for what's going on with your account. You can see if any of your payments are late on your invoices. That way, you know, to reach out to the client regarding their late payments. And you know stop working on their projects until their payments are made up to date.

You can also see if any of the contracts that your clients have signed are now ready for you to sign.

And lastly, if your workflows have any action that requires approval, you can check those off.

And then there's an added bonus here at the bottom, where you can see new updates or releases added to Dubsado.

7. Apply Time Tracked to an Invoice

The next feature I love is being able to apply the time that you've tracked to an invoice. You can track your time throughout working with a client, and when you're ready to invoice them for it, you can create an invoice and then just click this dropdown here that lets you know, that you have time that needs to be applied.

Your time has quickly been calculated for this invoice.

8. Reorganize Templates with Drag and Drop

And the last micro feature I wanted to show you is that you can drag and drop many of the elements in Dubsado.

So I'm inside of a project in the forms tab. You can simply drag and drop these forms. However you want, in order to rearrange them, you can also go to the templates tab and rearrange your schedulers or in workflows, you can rearrange your workflows.

Same goes with packages. You can rearrange your packages.

This is just a small feature that makes Dubsado* so much more convenient to use because you can stay organized.
